Roles & permissions

For: Club admins · Updated 2026-11-02

On this page

Clubhouse keeps permissions simple: a short, fixed list of permission sets. Each person gets them from their club role, and optionally from positions they hold.

Club roles

Role Can
Club admin Everything in the club: settings, members, seasons, teams, positions, certifications, setup, audit log.
Coach Coach tools for the teams they're assigned to.
Staff Instructor/mentor tools across the club (as those features arrive).

Team roles

Team role Can
Head coach See the team; add, re-role and remove other coaches who are already club members.
Assistant coach See the team.
Team staff See the team.

Permissions positions can grant

Permission Allows
Club admin Full control of the club.
Coach Coach tools for assigned teams.
Staff Instructor/mentor tools across the club.
Registrar Player records, contacts and consents (coming soon).
Feedback recipient Receives feedback and grievances sent to the committee (coming soon).
Library curator Approves library sharing; removes and merges tags (coming soon).
Handbook editor Edits the handbook and legal documents (coming soon).
Safety editor Edits safety protocols and venues (coming soon).
Incident reviewer Reviews incident reports, including safeguarding concerns (coming soon).

A position only grants its permissions while the term is current, and only to someone who is an active member of the club.

Certifications and player information

Anyone whose role or position lets them see player information also needs all required certifications to be current. If one is missing or expires, their access to player information pauses until it's renewed. They can still use everything else.

Platform operator

The person who runs the Clubhouse server is the platform operator. They create clubs, manage backups and help with support. Their access to a club is recorded in the audit log.
